Thaja Rewards

Thaja Rewards: guide for businesses

Your own points for your own customers. Customers earn points on every paid bill and spend them at your shop, and your counter does almost nothing extra.

*This guide is shown in the Thaja Rewards dashboard (Help) and, after launch, on thaja.app. Examples use a restaurant called Aroma. The rules behind it are in [docs/01-rules.md](../01-rules.md). Ported from Thaja Rewards's rewards guide.*

In one minute

- You give your points a name, for example "Aroma Points". - You choose how much customers earn. 2% means a ₹1,000 bill earns 20 points. One point is worth ₹1 off at your shop. - You buy rewards credits in advance: ₹1 a credit, plus 18% GST. Each point you give uses one credit. - You pay once. When a customer spends points at your shop, the credits come back to you. - Customers claim points on their own phone by scanning your QR after paying. At the counter, staff only type a discount into your billing system, as for any coupon. - There are no other rewards fees. Your Thaja Rewards plan is billed as usual (or complimentary through a partner app such as Thaja Rewards).

What it costs you

| Your earn rate | A ₹1,000 bill earns | Credits used | |---|---|---| | 2% | 20 points | 20 credits = ₹20 + GST | | 3% | 30 points | 30 credits = ₹30 + GST | | 5% | 50 points | 50 credits = ₹50 + GST |

- When the customer comes back and spends the points, you give the discount and the credits come back to you. You have paid only once: the food. - When the customer never comes back, the points expire and the credits stay used. - When the customer moves points to Thaja (India only, when it is open), the credits stay used and the customer swaps Thaja points for a voucher.

Most businesses do well at 2–3%. You can change the rate at any time; the new rate applies to new bills only.

GST: restaurants that charge 5% GST usually cannot claim back the 18% GST on credits. Salons, clinics and others registered at 18% usually can. Ask your CA.

Set up in 10 minutes

1. Open app.thaja.app and sign in with the code we email you. If you can't see your points screens, they are not switched on for your business yet. Ask Thaja Rewards support. 2. Read and accept the Rewards pack terms. 3. Name your points. The default is "<Your brand> Rewards". Keep it short: "Aroma Points". 4. Choose the earn rate, from 1% to 5%. We suggest 2–3%. 5. Choose when points expire: 30, 60 or 90 days, or 6, 12 or 18 months. The time starts when the points become usable, after the hold. - Short (30–60 days): suits places customers visit every week, like a tea stall, café or tiffin centre. It brings them back sooner. - Longer (6–12 months): suits places people visit now and then, like a salon, clinic or restaurant for family dinners. - Remember: you pay for points that expire unused. A very short expiry means more of your credits are used without bringing anyone back. We suggest 90 days or more unless most of your customers come every week. 6. Choose the hold: new points can be used after 7–14 days. This covers refunds and gives you time to check claims. We suggest 14. 7. Set the claim limits: - how long after the bill a customer can claim (default 6 hours); - the biggest bill that is approved without you (default ₹3,000); - how many claims one phone can make a day (default 2). 8. Tell Thaja Rewards how your bill numbers look. Type one real bill number from today, for example `DC-0412`, so Thaja Rewards can spot made-up numbers. 9. Buy credits: Packs → choose ₹2,000, ₹5,000, ₹10,000 or ₹25,000, or type an amount from ₹1,000. Pay by UPI or card. Your GST invoice is in Packs. 10. Print your "Scan to earn" QR: Print kit. - Table tent and counter standee: print them and put them where customers wait for the bill. - Bill footer: download the 58 mm or 80 mm image and add it to your billing system's bill footer or logo setting. Then every printed bill carries the QR. Most billing systems have this setting; if you can't find it, ask your billing system's support for "add an image to the bill footer".

Every day at the counter

When a customer pays

Nothing changes for your staff. Hand over the bill and say one line:

> "Scan the QR on your bill to get your Aroma points."

The customer scans and enters the bill number and the amount they paid. They can also take a photo of the bill. The points show as pending on their phone.

When a customer wants to use points

1. Before paying, the customer opens Thaja Rewards and taps Use points. 2. They show you a live screen. It says, for example, "₹50 off at Dosa Corner", with a code like `K7M-4XA`, a running clock and a moving background. 3. Check it is live. The clock is running and the background moves. A screenshot looks frozen. 4. Type ₹50 as a discount in your billing system, and type the code in the discount reason. 5. The customer pays the rest, then taps I paid and enters the bill number. They earn points on what they actually paid.

That's all. The points used come back to your pack as credits.

If you'd rather check every code, turn on Staff confirm in Settings. Then staff scan the customer's code with the Thaja Rewards app before giving the discount.

If you don't use a billing system

Use Add points: 1. Type the customer's phone number, the amount and the bill number. 2. Tap Add.

The customer gets a message to claim.

If your billing app is connected (AskBell and other partner apps)

If you use a billing or ordering app that works with Thaja Rewards, such as AskBell, connect it once from that app ("Connect to Thaja Rewards"), and approve on Thaja's page. From then on each paid bill gives points to the customer's phone, and a refund or cancellation takes them back. Nobody types anything twice. AskBell subscribers get Thaja Rewards' software free while their AskBell plan is active; you still buy rewards packs. You can disconnect at any time in Connected apps.

Every night: one minute

At 9:30 pm you get one message. For example:

> "Today: 23 claims. 1 needs a look."

Tap it to see any claim Thaja Rewards is unsure about. Tap Approve or Reject.

- Do nothing, and claims Thaja Rewards was sure about are approved when the hold ends. A claim Thaja Rewards flagged needs your Approve: if you haven't approved it by the end of the hold, it is turned down and its credits come back to you. - Reject a claim if the bill number or amount doesn't match your records. The customer is told politely.

Once a week you can upload your billing system's bill-wise report (CSV) in Claims → Check claims against your billing system's report. For the days the report covers, Thaja Rewards checks every claim still in its hold against your real bills: claims with no matching bill are turned down, and flagged claims that match are approved for you.

Credits

- See what you have left on Overview. - We tell you at 20% left and at zero. - At zero, new points stop. Customers' claims wait for up to 7 days. Buy credits within that time and they go through. If you don't, the claims are cancelled and the customer is told. - Credits expire 12 months after you buy them. - Credits are not refundable and not cash. Buy what you will use in a few months.

Refunds and cancelled bills

- If you refund a bill, reject its claim in Claims, or reverse the points in Customers. The credits come back to you. - If the customer has already spent those points, their points can go below zero, and their next points fill the gap first.

What customers see

- My points: each shop's points, with what is pending and when it can be used. - Reminders: 30 days and 7 days before points expire. - Their data: they can see, download or delete it at any time.

Thaja Rewards welcome offers and "Shops near you" (pilot businesses)

Welcome new customers from other Thaja Rewards shops. Switch on Rewards → Welcome offer and choose how many of your own points to give, for example "Have points at any Thaja Rewards shop? Get 50 Biryani House points on your first visit." - The welcome points come from your own credits and are your own points. - Customers get them once, on their first paid bill at your shop above your minimum. - You set a monthly cap so your credits are safe, and can limit the offer to some branches or dates. Welcome offer shows this month's welcomes and how much of the cap is left. - The welcome goes with its bill: if you reject the bill's claim or refund the bill, the welcome goes too. - In Claims a welcome shows as "Thaja Rewards welcome offer". You never see which other shop a customer uses. Their privacy is protected.

Be found. Tick Settings → List my shop in Shops near you. Customers then see your shop, your hours and your welcome offer in My points. It is free, and you can switch it off at any time.

Points are never moved between shops. Each shop's points are only for that shop.

Levels: Silver, Gold, Platinum (pilot businesses)

Reward your regulars more. In Tiers you can give your customers 2 to 4 levels, each with its own earn rate. For example: Silver 5% from the first bill, Gold 7% from ₹15,000, Platinum 10% from ₹40,000. - Customers reach a level by what they paid at your shop, in all your branches. You choose whether that's the last 12 months or all time. Salons, gyms and clinics can count visits instead (one a day per branch). - A level lasts 12 months. If a customer's bills of the last 12 months reach it again, they keep it. If not, they get a reminder and a grace (up to 30 days), then move down one level. - Each level can have perks you give by hand, such as "Free size upgrade on Fridays". Customers see them on My points. - Preview shows how many customers would be in each level, about how many points a month you'll give, and how long your credits last at that pace. Saving needs the tick "I've read the preview". - Changes apply to future bills only. Nobody drops a level before their 12 months are up. A level with customers in it can't be removed; rename it or change it instead. - Levels are earned, never sold. They never depend on referrals, reviews or draws, and never count another shop's bills.

Levels give out more points, so they use your credits faster. Watch the preview's "weeks left" and buy credits in time.

Thaja (a pilot, not switched on yet)

In India, customers will be able to turn your points into Thaja, the operator's own programme, at half value (50 points → 25 Thaja), and Thaja into vouchers such as Amazon Pay, from the operator. It waits for our accountant's answer on GST before it is switched on for anyone. - Your credits pay for this, at no extra fee: the credits behind moveed points are used for good. - Only points the customer has had for 14 days or more can move, at least 100 at a time, and moveing cannot be undone. - Vouchers are capped at ₹2,000 a month and ₹10,000 a year per customer. - You see moveed points in your weekly numbers ("moveed"); nothing else changes for you.

Rules we all keep

- Points only for paid bills. Never for feedback, ratings, Google reviews or games. Asking for a good review in exchange for points is not allowed. - Call them points. Not "cash", "balance" or "wallet". - Points are not cash. Never give money back for points. - Be fair to your staff and customers. Every point added by staff is recorded under their name.
